The Reports section provides analytics and insights into your booking operations. This guide covers revenue reports, capacity utilization reports, reconciliation reports, and how to export and use this data.

Overview

Reports help you understand:

  • Financial Performance: Revenue trends and booking values
  • Capacity Utilization: How efficiently you're using resources
  • Product Performance: Which products are most popular
  • Operational Metrics: Booking patterns and trends

Report Types

  • Analytics Dashboard: Unified dashboard with KPIs, funnels, and visualizations
  • Revenue Reports: Financial data and revenue analytics
  • Capacity Reports: Resource utilization and efficiency
  • Reconciliation Reports: Payment reconciliation and discrepancies
  • Product Analytics: Product-specific performance metrics

Analytics Dashboard

The Analytics Dashboard provides a unified view of all key metrics and visualizations.

Accessing Analytics

Navigate to Reports > Analytics to access the unified analytics dashboard.

Dashboard Overview

The analytics dashboard includes five main tabs:

Overview Tab:

  • KPI cards showing key metrics (bookings, revenue, conversion, utilization)
  • Booking funnel visualization (holds → tentative → paid → confirmed → completed)
  • Lead time distribution chart
  • Party size distribution pie chart
  • Lifecycle stages breakdown

Booking Funnel Tab:

  • Detailed conversion funnel with drop-off rates
  • Stage-by-stage metrics
  • Comparison with previous period

Product Performance Tab:

  • Product ranking table
  • Revenue per product
  • Booking count and conversion rates
  • Utilization percentages
  • Trend indicators

Capacity Heatmap Tab:

  • Interactive 7×24 grid (day of week × hour)
  • Color-coded utilization levels
  • Tooltips with booking counts
  • Identify peak and low-demand periods

Cohort Analysis Tab:

  • Customer retention matrix
  • Weekly/monthly cohort rows
  • Color-coded retention rates
  • Track customer loyalty over time

Period Selection

Select the analysis period using the period selector:

  • 7 days: Last week
  • 30 days: Last month
  • 3 months: Last quarter
  • 12 months: Last year

Key Metrics

Conversion Metrics:

  • Hold-to-confirmation rate
  • Funnel drop-off at each stage
  • Average conversion time

Lead Time Metrics:

  • Average booking lead time
  • Distribution by lead time buckets
  • Last-minute vs advance bookings

Revenue Reports

Revenue reports show financial performance and booking revenue.

Revenue Report Overview

What's Included:

  • Total revenue by period
  • Revenue by site or product
  • Booking count and average value
  • Completed vs confirmed revenue
  • Revenue trends over time

Generating Revenue Reports

Access Reports:

  1. Navigate to Reports > Revenue
  2. Select date range
  3. Choose granularity (daily, weekly, monthly)
  4. Optionally filter by site or product
  5. View report

Report Parameters:

  • Start Date: Beginning of report period
  • End Date: End of report period
  • Granularity: Daily, weekly, or monthly breakdown
  • Site Filter (optional): Specific site
  • Product Filter (optional): Specific product

Revenue Report Data

Metrics Included:

  • Total Revenue: Sum of all revenue in period
  • Booking Count: Number of bookings
  • Average Booking Value: Revenue per booking
  • Completed Revenue: Revenue from completed bookings
  • Confirmed Revenue: Revenue from confirmed bookings
  • Daily/Weekly/Monthly Breakdown: Period-by-period data

Revenue Calculation:

  • Based on grand total (includes tax)
  • Excludes cancelled bookings (unless specified)
  • Includes refunds (net revenue)
  • May include pending holds (configurable)

Revenue Report Views

Detailed View:

Capacity Reports

Capacity reports show how efficiently you're utilizing your resources and capacity.

Capacity Report Overview

What's Included:

  • Capacity utilization percentages
  • Booking density by time
  • Resource usage statistics
  • Peak time analysis
  • Underutilized periods

Generating Capacity Reports

Access Reports:

  1. Navigate to Reports > Capacity
  2. Select date range
  3. Optionally filter by resource or product
  4. View utilization data

Report Parameters:

  • Start Date: Beginning of report period
  • End Date: End of report period
  • Resource Filter (optional): Specific resource
  • Product Filter (optional): Specific product

Capacity Report Data

Metrics Included:

  • Total Capacity: Available capacity across period
  • Used Capacity: Capacity utilized by bookings
  • Utilization Percentage: Efficiency metric
  • Peak Hours: Times with highest utilization
  • Low Utilization Periods: Times with available capacity
  • Booking Density: Bookings per time slot

Capacity Calculation:

  • Based on slot capacity
  • Considers confirmed and completed bookings
  • Excludes cancelled and no-show bookings
  • Shows actual vs. available capacity

Utilization Analysis

Utilization Categories:

  • High Utilization (>80%): Peak times, high demand
  • Medium Utilization (50-80%): Good utilization
  • Low Utilization (<50%): Underutilized periods

Time Analysis:

  • Peak Hours: Identify busiest times
  • Quiet Hours: Identify slow periods
  • Day Patterns: Day-of-week trends
  • Seasonal Trends: Month-to-month patterns

Running Reconciliation

Manual Reconciliation:

  1. Navigate to Reports > Reconciliation
  2. Click "Run Reconciliation"
  3. System processes payments and bookings
  4. Review discrepancies
  5. Adjust discrepancies as needed

Automatic Reconciliation:

  • Scheduled reconciliation runs
  • Daily or weekly automatic checks
  • Email notifications for discrepancies
  • Automatic flagging of issues

Reconciliation Data

Reconciliation Checks:

  • Payment amounts match booking totals
  • All payments accounted for
  • Refunds properly recorded
  • Missing payments detected
  • Duplicate payments identified

Discrepancy Types:

  • Amount Mismatch: Payment doesn't match booking total
  • Missing Payment: Booking has no payment
  • Duplicate Payment: Payment recorded twice
  • Refund Not Recorded: Refund processed but not in system

Handling Discrepancies

Reviewing Discrepancies:

  1. View discrepancy list
  2. Review details for each discrepancy
  3. Investigate root cause
  4. Make adjustments if needed
  5. Resolve discrepancy

Adjustment Options:

  • Mark as Resolved: Discrepancy was expected
  • Adjust Amount: Correct payment amount
  • Add Missing Payment: Record missing payment
  • Remove Duplicate: Remove duplicate entry

Report Scheduling

Scheduled reports allow you to automate report delivery via email on a configurable schedule.

Accessing Scheduled Reports

Navigate to Reports > Scheduled to manage scheduled reports.

Creating a Scheduled Report

Steps:

  1. Click "Create Report"
  2. Enter report name and description
  3. Select report type:
    • Analytics Overview: Full dashboard analytics
    • Revenue Report: Financial performance data
    • Capacity Analysis: Utilization and capacity metrics
    • Booking Funnel: Conversion funnel data
    • Cohort Analysis: Customer retention data
  4. Choose data period (week, month, quarter, year)
  5. Select output format (PDF, CSV, or both)
  6. Configure schedule using presets:
    • Every Monday at 8am
    • Every day at 8am
    • First of month at 9am
    • Every Friday at 5pm
    • First Monday of month at 8am
  7. Add recipient email addresses
  8. Click "Create Report"

Managing Scheduled Reports

Available Actions:

  • Edit: Modify report settings
  • Toggle: Enable or disable report
  • Trigger: Run report immediately
  • View Logs: See execution history
  • Delete: Remove scheduled report

Execution History

View the execution history for each scheduled report:

  • Run status (Success, Partial, Failed)
  • Start and completion times
  • Recipients sent and failed
  • Error details if applicable
  • Data period covered
